One Platform. All Fitness
Effective Date: 06/09/26
At FitnessFinder, the safety and wellbeing of every customer and provider is our top priority. Please read these guidelines carefully before booking or attending any session.
Providers are solely responsible for the safety, supervision and delivery of all sessions. This includes:
Where a provider delivers sessions through other personnel, the provider remains solely responsible for ensuring that all individuals delivering sessions are appropriately qualified, insured and compliant with these standards.
Any qualification, insurance, or DBS indicator shown on a Provider's profile reflects that the relevant documentation has been submitted — it is not verification, endorsement, or certification by Fitness Finder of its validity or accuracy.
Providers who deliver in-person sessions of any kind — including In-Package Sessions delivered as part of an Online Coaching package — must hold valid and current First Aid certification appropriate to the level of activity being delivered.
Providers registered on the platform to deliver Online Coaching only, with no in-person sessions, are not required to hold First Aid certification unless and until they begin delivering an in-person session. A provider cannot add or accept any in-person session, including an In-Package Session, without first meeting this requirement.
Customers are responsible for:
Where a session is booked on behalf of another individual, the account holder is responsible for:
Providers are not medical professionals and nothing delivered through a session constitutes medical advice or treatment.
Customers should consult a qualified healthcare professional before starting any new fitness programme, particularly if they have pre-existing health conditions, injuries, or any concerns about their physical ability to participate. This is especially important following illness, surgery, or significant inactivity.
If a customer has disclosed a health condition, providers will take reasonable steps to adapt sessions accordingly, but this does not replace professional medical advice.
In-person sessions: Customers and providers are jointly responsible for ensuring that the agreed session location is safe, suitable and appropriate for the activity taking place. Fitness Finder does not assess, verify or control session locations and is not responsible for the safety or condition of any venue, outdoor space, or private premises used.
Online sessions: Customers must ensure their training space is:
Fitness Finder does not assess or control training environments in any format.
Any equipment used during a session should be:
Customers should inform their provider of any concerns about equipment before a session begins. Providers are responsible for ensuring that any equipment they supply or recommend meets appropriate safety standards.
All participants should:
Participation in sessions booked through Fitness Finder is entirely voluntary. You are responsible for your own physical condition and readiness to participate.
Participation in physical activity involves inherent risks, including but not limited to:
By taking part in a session booked through Fitness Finder, you acknowledge these risks, confirm that you have considered your personal health and fitness, and accept responsibility for your own participation. This does not affect your statutory rights or any obligation on the provider to deliver sessions safely and professionally.
Fitness Finder does not determine, verify or control the locations where sessions take place. Customers and providers are responsible for agreeing a suitable and safe meeting location prior to the session.
Fitness Finder is not responsible for:
Where a customer is uncomfortable with a proposed location, they should raise this with the provider before attending. Customers are not obliged to attend a location they consider unsafe.
The same principles apply to Events: Fitness Finder does not determine, verify or control Event venues, and is not responsible for their safety, suitability or condition. Providers are responsible for organising and managing Event safety, including venue, capacity and group size.
At the start of an in-person session, providers may ask customers for a unique verification code issued through the platform. This confirms that the session took place and helps protect both parties if a dispute arises about attendance. Customers should have this code ready at the start of each session and should only share it with their provider once the session has begun.
The same verification system applies to Events — customers should have their ticket verification code ready upon arrival, to confirm attendance and protect both parties in the event of a dispute.
Where a provider offers Online Coaching (subscription-based coaching delivered remotely, including discovery calls, daily logs, questionnaires, and nutrition or workout plans), the same principles of provider responsibility, customer honesty about health conditions, and assumption of risk set out in these guidelines apply equally. Providers are not medical professionals, and nothing delivered through Online Coaching constitutes medical advice. Customers should raise any safeguarding or safety concerns about Online Coaching in the same way as for in-person sessions — see Section 15 below.
Where an Online Coaching package includes an In-Package Session (an in-person one-to-one session delivered as part of the package), the same health and safety principles set out in these guidelines apply as they would to any other in-person session, including provider responsibility for the training environment, equipment, participant suitability, and First Aid certification (see Section 1A).
If you're injured or unwell: if a temporary injury, illness, or similar personal circumstance means you're unable to continue with Online Coaching for a period, your provider can pause ("suspend") your coaching relationship rather than you needing to cancel. While paused, billing stops and no further payments are collected, and your existing records (daily logs, progress images, and client records) are retained so the relationship can pick back up without loss of data once you're able to resume. You can also ask your provider to lift the pause once you're ready. A pause applies only to Online Coaching and does not affect your ability to book in-person sessions with any provider in the meantime.
Only providers who have submitted a recognised nutrition qualification and been separately approved by Fitness Finder may supply nutrition plans through the platform. Workout plans and supplement recommendations are not subject to this additional approval. Fitness Finder reviews but does not independently verify the authenticity or ongoing validity of any nutrition qualification submitted, and does not guarantee its accuracy — the same "submission is not verification" principle set out in Section 1 applies here.
Where you have recorded dietary requirements or allergy information ("Dietary Labels") with a provider, that provider must review this information before giving you any nutrition plan, supplement recommendation, or dietary guidance, and must not make a recommendation that conflicts with it. If you haven't recorded a Dietary Label, your provider remains responsible for taking reasonable steps to check for relevant dietary requirements or allergies with you directly before making recommendations — but it's safest to keep your Dietary Label up to date yourself, since this is the record your provider is expected to check.
Providers may share links to third-party websites for the purchase of nutrition, supplement, or workout-related products. These links are outside the platform's payment system, and following one is entirely at your own risk — Fitness Finder is not a party to any purchase made this way and is not responsible for the products bought, their safety, or their suitability. Workout plans, nutrition plans, and supplement recommendations do not constitute medical advice.
In the event of an injury or medical emergency during a session:
Where a session is booked on behalf of another individual, the account holder is responsible for ensuring that relevant emergency contact information is available where necessary.
Where a provider cancels a confirmed session for any reason, the customer is entitled to a full refund.
Occasionally a session may need to be cancelled at short notice due to circumstances beyond a provider's control (for example, illness, accident, or severe weather). Where a provider cancels a session citing such circumstances within 48 hours of the scheduled start time, Fitness Finder may review the claim to confirm it is genuine — this review determines whether a penalty applies to the provider, and does not affect the customer's entitlement to a full refund. Full details of our cancellation and refund policy are set out in Clause 5.2 of our Customer Terms & Conditions.
Where a provider cancels a confirmed Event, customers are entitled to a full refund regardless of the reason for cancellation, and no Force Majeure review applies to Event cancellations.
To the fullest extent permitted by applicable UK law, Fitness Finder is not responsible for any injury, illness, loss, or damage arising from sessions delivered by independent providers. Providers are solely responsible for the delivery, safety and supervision of their services and for the conduct of any personnel acting on their behalf.
Nothing in these guidelines excludes or limits any liability that cannot lawfully be excluded under UK law, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
Fitness Finder allows bookings to be made on behalf of other individuals, including minors, through the platform's "Add Person" feature.
Where a participant is under 18, the account holder confirms that they are the parent or legal guardian of that individual, or that they have obtained appropriate parental or legal guardian consent prior to booking.
The account holder remains responsible for:
Providers who deliver sessions to individuals under 18 are required to hold a valid enhanced DBS check. The provider may rely on the information provided by the account holder and is not responsible for independently verifying consent.
Fitness Finder takes the safety of children and vulnerable individuals seriously. Providers working with individuals under 18 are required to hold a valid enhanced Disclosure and Barring Service (DBS) check before any session involving a minor can be created or accepted through the platform.
If you have any safeguarding concerns in connection with a session or a provider on the platform, please contact us immediately at support@fitnessfinderltd.co.uk. We will take all concerns seriously and act appropriately, including referring matters to relevant authorities where necessary.
